Overall purpose statement
NTTEO is a rapidly growing ICT solutions provider, primarily operating within the Internet enterprise hosting arena. This role is within the UK Engagement team. This team delivers a wide range of projects, spanning from 5 server hosting solutions to fully managed application platforms with 100’s of servers across several continents.
We have a new requirement for an experienced Project Office Manager to manage our growing project management team. The role will be focused on establishing, implementing and controlling best practices. This includes driving the definition and documentation of all project lifecycle activities. To efficiently track and report on the project portfolio, the role will be responsible for the development and enforcement of KPI measurement systems (Resource, Quality, Risk, Time).
A key aspect of this role will also be resource assignment and tracking across the project portfolio. This will focus on assignment of team members to new orders, resource levelling, holiday/sickness cover and conflict resolution.
Accountabilities and responsibilities
Reporting to the Engagement Manager, your responsibilities will include:
- Manage and coach Project Management team (Currently 7 persons)
- Portfolio Risk Management: Monitoring, reporting and helping to address project risks and issues
- Resource Management: Assign, forecast, accrue and track
- Document quality assurance: Project quality control and template management
- Portfolio weekly reporting to management
- Chairing team meetings and workshops - preparing agendas, minutes, action logs, papers, reports, managing issues and recommendations arising from governance groups
- Programme Office Organisation - maintain administration and filing system
- Proactively contribute to process development and optimisation
Relationships and roles
The person in this position will:-
- Report to the Engagement Manager for day-to-day activities
- Will manage UK Project Managers
- Interface with a wide variety of project staff for the purpose of resource utilisation tracking and delivery process definition
- Work with other departments and external suppliers to represent the interests of the Project management team and to assist in escalations
- Will be required to provide holiday/sickness cover for the Engagement Manager
- Provide guidance to the sales department in matters of project approach, professional services quotations and delivery timescale estimation
Skills and experience
The candidate must possess the following skills:-
- Have several years experience of working in or managing a PMO within the technology or engineering sector
- Previous Project management experience
- Must possess good organisational and people management skills
- Be aware of Programme management tools such a Microsoft Project Server
- Be able to demonstrate leadership abilities
- Experience in stakeholder management
- Experience in a customer service environment, both by telephone and face-to-face
- Conceptual understanding of IT technology, networking and the Internet
- Proven ability to meet high standards of written and oral communications with customers
- Proficiency in Microsoft Office applications
- PRINCE2, PMP or similar project management certifications
- Proven ability to work under pressure and with other people
- Tenacious attention to detail.
The following skills would be beneficial:
- Microsoft Project Server, portfolio server administration and operation
- Experience in Internet hosting or Telecommunications
- Relevant Program management qualifications (e.g. PgMP, OPM3)
- Managing a team of more than 4 persons
