Project Administrator

Overall Purpose Statement

The role will be responsible for maintaining project files, ensuring documentation is  compiled and stored for future reference, and providing support in the production of project related documentation. The role will also be responsible for the placing of equipment orders on behalf of the project managers and the on time, delivery and accounting for such equipment into the company’s Hosting Centres. The role will also require the person to deploy small customer projects.

Key Duties – Principal Accountabilities and Responsibilities

Procurement/Operations

  • Ensure that equipment requirements for projects are ordered, approved and received on time, in the correct Hosting Centres to support projects.
  • Procurement of UK operations Project related equipment and maintenance.
  • Deal with suppliers for RMAs, late and part deliveries and missing equipment to resolve the issue and minimise project delays.
  • Build strong Supplier relations to maximise supply chain efficiency and maximise revenues.
  • Procurement reconciliation tasks.
  • Procurement of UK operations Project related equipment and associated maintenance.
  • Interact with customers data centre staff and other teams.
  • Define quality standards & improve deficiencies within the project deployment cycle to comply with the companies ISO9001 standards.
  • Manage the backorder management process to show awareness inventory availability.
  • Update fault reports.

Project Support

  • Cross check all project requirements to ensure that the appropriate level of quality assurance has taken place, management and technical oversight has been applied and that equipment orders and solution designs have been through the correct approval processes.
  • Administration of Project related documentation.
  • Supporting Project teams with day-to-day tasks.
  • Create/update Network Diagrams, Project Plans and Customer Handover documents.
  • As a document librarian, upload project information to our on-line management systems such as Microsoft Sharepoint and NEXUS.
  • Manage small projects
  • Manage the deployment of small hosting solutions
  • Manage the customer cancellation of solutions and components

Skill and Experience

You must possess the following skills:

  • Administration experience with document management
  • Experience in a customer service environment, both by telephone and face-to-face
  • Conceptual understanding of IT technology, networking and the Internet
  • Proven ability to meet high standards of written and oral communications with customers
  • Proficiency in Microsoft Office applications
  • Relevant technology certification or university graduate preferred
  • Proven ability to work under pressure and with other people
  • Appropriate attention to detail
  • Forward thinker

You do not require the following, but it would be an advantage:

  • Proficiency in Microsoft Visio and Project applications
  • Exposure to Prince2 Project Management Methodologies
  • IT project experience
  • Experience in the Web Hosting Industry
  • Knowledge of IBM and Sun server technologies

Education

  • Degree qualified or with relevant experience in the Web Hosting field
  • PRINCE 2 qualifications or demonstrable skills in formal project management
